A suspicious invoice arrives just before payroll. A client sends a document that asks you to sign in again. Someone appears to email from your own company, requesting a payment change. These are everyday business decisions—and a rushed click can turn into an account takeover.
VirtualWare Solutions provides managed email protection for small businesses using Microsoft 365 or Google Workspace. We combine threat detection, account protection, employee awareness, and response support around the way your team actually works. VWS operates online, with remote assessment and service delivery.

What does managed email protection include?
We assess your current environment first, then define the users, features, responsibilities, and response coverage in your proposal. Depending on the agreed scope, VWS email protection can include the following layers.
Phishing, impersonation, and payment-fraud detection
Identify suspicious messages, sender impersonation, and business email compromise attempts, including messages designed to look like a trusted colleague or supplier. Detection considers message context and suspicious behavior as well as familiar malware indicators.
Malicious links and attachments
Inspect risky links and files to help reduce exposure to credential theft and malware. Post-delivery detection and remediation can address threats identified after a message reaches a mailbox. No filter can guarantee that every malicious message will be stopped.
Mailbox and identity protection
Review account risks, suspicious sign-in activity, and unauthorized mailbox forwarding. Strengthen multifactor authentication and access settings where included. When an account is suspected of compromise, agreed response steps can include message investigation, mailbox remediation, and coordination of access recovery.
Domain authentication and employee awareness
Review SPF, DKIM, and DMARC configuration to help protect your sending domain from spoofing. Phishing simulations and practical awareness training help staff recognize unusual payment instructions and report concerns. Domain authentication supports trust in your email; it does not replace mailbox security.
Protection that fits real business workflows
Trades and service businesses: protect estimates, supplier invoices, scheduling messages, and payment instructions. Agree on an independent callback process before changing bank details.
Legal firms: reduce exposure around client correspondence and shared documents, with clear escalation for suspicious access or messages. Security controls support your obligations; they do not independently establish compliance or protect legal privilege.
Financial businesses: strengthen verification around sensitive communications and transaction requests. We scope security and reporting around your requirements without promising a certification or regulatory outcome.
How onboarding works
We start with a conversation about your email platform, number of users, existing security tools, and recent concerns. Next, we review available settings and permissions, recommend a plan, and agree on deployment, alert handling, and responsibilities. Rollout and user guidance are coordinated to limit disruption.
How much does email protection cost?
Pricing depends on mailbox count, platform, selected security features, existing controls, and the level of ongoing management required. We size the service during discovery and provide a written scope. Ask which licenses, monitoring activities, response hours, and remediation tasks are included.
Is email protection the same as email backup?
No. Threat protection helps detect and respond to malicious activity. Backup and recovery address restoring data after deletion, corruption, or other loss. We discuss both needs and document which recovery capabilities are included or require a separate service.
What if a suspicious email gets through?
Stop interacting with it and report it through your agreed support channel. If someone entered credentials or approved a payment, tell the response team immediately. For an unexpected payment change, verify with a known contact using a trusted phone number.
